Privacy Policy

The short version: Prezans is offline-first and collects as close to nothing as we could manage. No ads, no trackers, no cookies — this website counts visits with a cookie-free analytics service, and the apps send no analytics at all. Your songs and recordings stay on your computers; if you publish them for home access, they are encrypted with a key only your church holds, so we cannot read them.

1. This website

This site sets no cookies. To know how many people visit, it uses Cloudflare Web Analytics, a privacy-first measurement service that works without cookies, local storage or fingerprinting — we see aggregate counts of page views, never who you are.

2. What you send us when you request a copy

The request form sends two things to our server: the email address you type and what you write about your church. We use them to create your church's record, issue your serial number, and reply to you. We share your details with nobody, ever.

The form also has a tick box, unticked unless you tick it, asking whether we may write to you occasionally about Prezans and our other products. It is entirely optional and has no bearing on getting your free copy or on the support you receive. If you leave it alone, your address is used to answer you and nothing else.

If you do tick it, we keep your address on a mailing list, together with the date and the exact wording you agreed to, so that what you consented to can always be checked rather than guessed at. Every message we send carries a one-click unsubscribe link; using it removes you immediately and changes nothing else about your copy of Prezans or your support. You can also ask us to remove you at the address in section 11. We do not sell, rent or share the list.

The request sits in an admin queue until a person answers it, and is deleted 90 days after it has been dealt with. To stop the form being abused by automated senders we also count submissions per internet address for one hour — that counter stores a one-way hash, never the address itself, and is discarded within hours. Nothing else about your visit is recorded.

You can write to us at the address in section 11 instead of using the form; the link beside the form does exactly that.

3. What the desktop application transmits

In plain words: activation once per computer, and a small "still alive" signal when the online features are on. That's it.

Activation — when you enter your serial, the computer sends the serial and a machine identifier so we can count activations against your limit.
Heartbeat — while the online features are enabled, the application periodically reports per machine that it is active and whether a stream is live, so watch links work and inactive churches can be cleaned up.
No analytics — the application contains no usage analytics, crash reporters or advertising identifiers.

4. Content you publish for home access

If your church turns on home access, the songbook, rehearsal audio and attachments are encrypted on your computer (AES-256-GCM) before upload. The encryption key is generated and held by your church; it is never sent to us. We store, transmit and delete ciphertext without the ability to read it. If your church loses its key, we cannot recover the content — you would republish from the original on your computer.

5. The companion app

The companion app stores the songbook and any saved audio on the phone, for offline use. Joining a church requires scanning that church's invite QR code; the resulting device token identifies the device to your church's data only. The companion sends no analytics either — the one thing in it that reaches a third party is the YouTube player on the stream screen, described in section 6.

6. Streaming and watching (YouTube)

If you connect a YouTube account, sign-in happens with Google directly and the resulting credentials are stored on that computer (in the operating system's keychain), not on our servers. Prezans uses YouTube API Services; its use of information from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google's handling of your data is described in the Google Privacy Policy; you can revoke Prezans's access at any time at myaccount.google.com/permissions.

Watching is separate from connecting an account, and it involves Google even though you never sign in. When you follow a church's stream — in the companion app, or on the watch page we serve — the video is played by YouTube's own player embedded in the page. We receive nothing from it. Google does, because the player is Google's software running in front of you: your IP address, the device and browser you are using, and what you do with the player itself. We load it from youtube-nocookie.com, YouTube's privacy-enhanced mode, so it sets no cookies for advertising personalisation; on the watch page, which never starts playing by itself, Google's undertaking is that it stores nothing at all about a visitor who does not press play. In the companion app the video does start on its own, so that last part does not apply there. Either way there is no sign-in, and we are never told who watched. 7. Where data lives and how long it is kept

Online data is stored with Google Firebase in the European Union (region europe-west1).
A church that has not connected for 90 days is deleted automatically — registry entry, activations, device enrolments and encrypted content, all of it.
Correspondence (your request email) is kept as long as your church uses Prezans, so we can support you and extend your serial. If you joined the mailing list, that address is kept until you unsubscribe — a consent lasts until it is withdrawn, so it is not on the 90-day clock above.

8. Your rights

Ask us at any time to see, correct or delete what we hold about your church, or simply to delete the church outright — we will, promptly and completely. Nothing on your own computers is affected; your library is yours.

The same applies to the mailing list: ask, or use the unsubscribe link in any message, and you are removed. You never have to sign in or explain why.

9. Children

The Services are operated for churches as organisations, and the request process is intended for adults acting on a church's behalf.

10. Changes

If this policy changes, the date above changes with it, and material changes will be noted on this page.
